Department Coordinator/Assistant to VP of Operations & Business Affairs – Just For Laughs Live

 

JOB DESCRIPTION:

Under the direction of the VP Operations & Business Affairs:

·         Gather venue availabilities and assist with routing various tours and concerts

·         Assist with the preparation of artist budgets and offers

·         Create and maintain critical paths for all JFL Live projects

·         Manage all rented venues including but not limited to:

o   venue negotiations

o   review and revise venue contracts

o   request venue deposits/payments

o   request venue insurance

o   sponsorship activation

·         Liaise with artists’ agents and/or managers as required

·         Assist with the coordination of all logistic aspects of touring and events (flights, ground transport and hotels) in conjunction with the Director of Operations - Tours & Events

·         Coordinate artist immigration for all JFL Live artists

·         Program ticketing for all JFL Live shows in conjunction with the Director of Operations - Tours & Events

·         Prepare daily ticket counts for all JFL Live shows and tours

·         Update the Concerts & Tours page of the JFL website in conjunction with the Director of Operations - Tours & Events

·         Manage JFL Live social media campaigns in conjunction with the Director of Operations - Tours & Events

·         Maintain lists for e-blasts for all JFL Live projects in conjunction with the Director of Operations - Tours & Events

·         Work closely with the VP Operations & Business Affairs on all her responsibilities, including but not limited to:

o   Travel planning including flight and hotel booking

o   Letter/memo writing/document preparation

o   Screening and answering calls

o   Organizing meetings and taking notes

o   Organizing filing system and keeping up with daily filing

o   Completing expense reports

o   Ordering and maintaining department supplies

·         Assist with PO creation and accounting for projects as required by department

 

 

Requirements:

•        English is a must with great communication skills in both written and oral form

•        Being bilingual (English/French) is an asset

•        Must possess a College Degree

•        2 years of experience with similar responsibilities

•        Ability to prioritize and be proactive

•        Good people skills and maturity

•        Fast learner and trustworthy

 

Job status: Permanent, fulltime
